Two things were new for me at this event: Laser printed maps, and electronic communication with the Planners.
Having been to all the recent National events where the quality of the laser printed and colour photo-copied maps was dubious to say the least, I was a bit cautious about WAOCs proposal to laser print the maps for this event. However, the difference at WAOC events is that all the maps are laser prints, there is no photocopying involved. The quality achievable is almost as good as conventionally printed maps, and after running on one at a Rowney I was no longer concerned.
I was concerned, however, when the WAOC mapping officer lost access to the printer used for all previous events, and had to get the colours set up in OCAD for a different printer quite close to the time of the event. I felt the quality he achieved for Maulden was acceptable in terms of clarity, although some of the colours, Particularly the greens, were a bit different to what we expect on an orienteering map. I understand this will be worked on before the next event.
Laser printing the maps close to the event has put an end to map corrections, and allows badly mapped control sites to be used by correcting the map. The benefit to competitors is immense of course: up to date, overprinted maps for the price of a colour coded event. The cost of laser printing is significant at a little under 50p per map and WAOC are to be applauded for not increasing the entry fee. This did lead to some difficult decisions when deciding how many maps to print because too many unused would have meant a loss-making event.
Dave Wotton helps run the WAOC web site, so we were able to use the web in a way which most Planners would not consider. Dave drew courses on OCAD, converted to gif format, and up-loaded them onto an un-linked page on the web site, where I could down-load to an image editor. The images were initially reduced in size (file size 110kb), but the quality was poor and I needed a printed map to see detail. For later course revisions a larger size was used (220kb) which allowed me to see all the detail without a printed map. It was a little large at 1074 x 1576 pixels, but a black and white print to fit A4 was very clear. In the forest I used a colour print of the master control map, with black and white prints of courses. The control descriptions were also on the web page, and Dave wrote a routine which generated course descriptions from the master control list. We used e-mail for a lot of communication about the courses and I thought the planning process ran very smoothly.
There were no problems on the day. I received a couple of comments about the White course: apparently some younger competitors were a little afraid of going past the house, especially when there were people around it. I have to admit I never thought of this, but will bear it in mind for the future. There was a Yellow course control which they had to pass without punching, and this was a little confusing for some. We had a problem with the Yellow course in that area, and the control was a late fix. We would rather it hadn't been there, but it wasn't on a path junction so I thought it would be ok. Sorry for any confusion caused.
Some competitors made comments about the mapping of vegetation. I think that planners using the WAOC system of OCAD updates for each event should not need to take on a major re-survey at the same time as planning, and this should be carried out as a separate exercise. Most would agree that this re-survey is now required at Maulden, and hopefully it will happen before the next colour coded event.
Steve Long (SMOC)
This was the first time that either of us had planned a full set of colour coded courses although we have both planned summer gallopen style and training events before, and had been on a BOF planners course.
As we are both in the computing field and our controller Steve has Internet access we did much of our planning electronically, being able to email the developing courses to Steve on an almost daily basis for his guidance. This reduced turn around time significantly over traditional means of communication.
With our OCAD knowledge we were also able to change the map. This proved very useful for planning due to the fact that we were able to correct the map and therefore "rescue" control sites in areas where the map was inaccurate. Unfortunately a break-in to Julia's car during one of our surveying visits to the forest prevented us doing a full survey of the area and as a result we are aware that there is some inconsistency in how runnability is mapped across the area. We apologise if this caused anyone any problems on their course.
We positioned the start to enable White and Yellow competitors to visit a different part of the forest to the northern block to which they are normally restricted, but apologise that this resulted in a walk to the start for everyone that was longer than usual at Maulden.
We hope we gave the rest of you some interesting route choices, that you enjoyed our courses and didn't get too muddy. We certainly enjoyed planning them.

Colour standard is set for each course (except White where all finishers achieve the standard). It is achieved by all those who finish with a time better than (or equal to) the winner's time + 50% OR by the top 50% of all those who started - which ever gives the largest number of qualifiers (this is shown as the "Par time" in the results below).
Colour standard badges (awarded once the same par time has been achieved at three events) can be obtained from from your club's colour-coded scheme co-ordinator.
