Are we close to the perfect method of organising a colour coded orienteering event?
The competitor can enter on the day, their start time is flexible and can be taken almost as soon as they arrive at the start, the map is pre-printed and they do not have to worry about carrying a flimsy control card so that they can concentrate on the orienteering, they get almost instant results and can compare their errors with those of all the other runners.
The organisers also gain benefit from the use of the electronic punching system. The planner has a similar amount of work. The registration team has to deal with e-card hire, but this will reduce with time. The results team have to enter names as people register, but there are immense benefits with instant result generation and checking. The need for manpower at the start and finish is much reduced.
The main problem that became apparent at this event was the difficulty of predicting exactly how many people want to do each course. My apologies got to those who were asked to return their maps for the use of later runners. These have been replaced for those concerned, but is there an even better way? Can we print maps on demand, or at least some of them? Hire a colour laser printer, and the map can be at the start before the competitor arrives. No waste and no one disappointed.
My thanks go to all those who helped make the event run smoothly. It was a pleasure being organiser.
Ian Jones (WAOC)
I consider myself very lucky in having been able to plan WAOC's first colour coded event at Rowney to use electronic punching. I aimed to use the freedom of not having too worry too much about courses crossing themselves to offer challenging route choices wherever possible on the more technical courses. I hope you found your course interesting. My concerns early on were the dense bracken and profusion of extra tracks made by cyclists. By the day of the event the bracken had subsided to give generally good runnability; the unmarked paths were probably at best a mixed blessing to many of you.
I believe pre-printed maps are a boon to planner and runner alike. The downside is having to gauge numbers for each course. I hope those Red and Blue runners of you who switched courses or had to wait, due to shortages of maps on these courses, still enjoyed the event.
On the weekend of the event I visited every control site at least twice- to place the control and also to either attach the control box or check it was working. I am not sure how this compares with the workload of placing conventional controls and punches, probably a bit more work but not massively more. Programming the control boxes must also be done (not necessarily by the planner) but this proved to be a very quick and easy task.
As this was my first experience of using these new technologies as well as of planning a colour coded event, I appreciated having such a supportive team: Fred Northrop who helped prepare the maps and get them printed; Ian, Bruce and Mark Collis who got me up to speed on SportIdent and who provided excellent event organisation, and most particularly to Steve Hardy for a great deal of useful advice on planning in general and the courses in particular, and in tolerating some possibly quirky choices of control sites.
Peter Woods (WAOC)
This event was a first for many of us. It's certainly the first event I've controlled using electronic punching. It certainly helps with course planning, especially on a relatively small area like Rowney. On the day it certainly made checking before the start simpler and there are no cards to check afterwards. So long as the preparation is done carefully then the event should run more smoothly with fewer helpers.
With overprinting of maps for an entry on the day event you need to either be generous in the number of maps you print or be good at guessing. The guessing was actually pretty good, slightly more competitors than maps on Blue and Red, thanks to those competitors who let us recycle their maps.
Peter produced a good set of courses that used the area well, took advantage of the benefits of electronic punching, and with winning times about right.
