Hire of Garden Room for Functions

Conditions of Hire (Updated 9 Feb 2007)

Club Members

a.  There is no charge to hirers who have been Club Members for at least one year providing that catering is provided by SWCC or the Club’s franchise caterers.   Hirers who have been Club Members for less than one year will be charged at 50% of the non-members rate.   Room hire without catering will incur the full hire charge.

b.  The Club provides two bar staff only.  If additional bar staff are required for larger functions, the current rates of pay per additional member of bar staff will be charged to the hirer.

c.  Any damage to the Garden Room will be paid by the hirer.   For discos and wedding parties a damage deposit of £100 (refundable) must be paid at the time of booking.

d.  Deposits are non-refundable if the hirer cancels six weeks or less from the date of the function.

e.  The hirer must ensure that amplified music played at the event complies with current regulations.   The Club General Manager, Mr. Trevor Raine, will advise hirers as to what is acceptable.

f.  In order to comply with Food Hygiene Regulations, all food consumed at a function must be provided by the Club or the Club’s appointed franchise caterer.

g.  All drinks to be supplied by the Club bar and on a cash only basis (unless by prior agreement with the Manager).

h.  Where meals are supplied, the number of guests must be confirmed to the Club General Manager at least 5 daysahead of the event. Changes to this must be notified to the general Manager 3 days before the function otherwise the total number of advised meals will be charged for.

Non-Members

Monday to Thursday inclusive, £20.00 per hour.

Friday                                        £100.00 fixed charge.

Saturday                                    £125.00 fixed charge

Sundays                                     £20.00 per hour. NB the Club opening hours are currently 12.00 to 18.00 on Sundays  

50% of the room hire charge will be refunded if the total spend on food is over £300.00.

Regular meetings where food is being served will not be charged room hire.

Regular Users

Room hire charges are negotiable for Clubs and Societies who use the room on a regular basis i.e. weekly or monthly.

Terms

 

Room Hire Only  -  Full amount on reservation

Room with Meals supplied by SWCC  -   Full amount of room hire charge on reservation and food costs to be settled in advance of the event, less any discounts applicable.

Damage  - All damage to be paid by the hirer

For Discos, Wedding Parties etc -  Refundable Damage Deposit of £100.00
