BRGCS Privacy Policy

Introduction

As with many businesses, it is necessary for BRG Computer Services to hold information about its clients. The nature of the business is such that information held on a client’s computer will be visible to us. The aim of this note is to outline our policy on managing customer information to support the business whilst respecting the privacy of our clients.

Information about Clients

We will only retain sufficient information about our clients to cover the following purposes:

1.      To comply with UK legal requirements regarding the retention of records e.g. for accounting purposes.

2.      To maintain a relationship with the client to facilitate potential future engagements.

3.      Where an ongoing support service is to be provided, sufficient technical records of the client’s configuration to enable the efficient delivery of the support service.

Client Data

Data and programs stored on client computer systems may need to be copied to alternative storage media in the course of work on those systems. The ownership of the copyright of information provided by the client is unaffected.

Retention of Client Information and Client Data

Information about a Client or data belonging to a Client will not be disclosed to any third party by any means, except under the following circumstances:

1.      With the prior authorisation of the client.

2.      To comply with an enforceable order under the laws of England and Wales.

Data Protection

BRG Computer Services will make reasonable efforts to secure client information and data from theft, whether by physical or electronic means.

Client Data will only be retained for the duration of the work, unless agreed otherwise with the client.

On request, and subject to payment of a reasonable fee, a client may:

1.      View all information and data retained by BRG Computer Services on their behalf.

2.      Request changes to retained information, except where this would affect compliance with legal requirements regarding the retention of records e.g. for accounting purposes.

Communication with Clients

BRG Computer Services does not solicit business from its customers using ‘cold calling’ methods i.e. ‘mailshots’ (aka spam), phone calls or visits to its customers.

We may occasionally alert customers (usually via email) to a specific technical issue that could affect them, e.g. a critical software update or virus threat.
